2. What information we collect
 
Name, job title, and the company or organisation you represent.
Email address and telephone number.
Details of the project or enquiry you contact us about, including location, size, sector, budget range and programme.
Information you send us in correspondence, including attachments, drawings and briefs.
Information you enter into our office fit-out cost calculator.
Details of the guides or documents you download from our website.
Technical information about your visit to our website, including IP address, browser type, device type, pages viewed, and how you arrived at the site.
Records of meetings we hold with you, including notes and, where a recording or transcription tool is used for our own internal meetings, the resulting transcript.
 
We do not ask for and do not want special category data, such as health, ethnicity or religious belief, and we do not collect payment card details through our website.
 
3. How we collect it
 
Directly from you, when you complete our contact form, download a guide, use our cost calculator, email us, call us or meet us.
Automatically, when you use our website, through cookies and similar technologies.
From third parties, where you are introduced to us by a contractor, project manager, agent or landlord, or where we find publicly available business contact details.
 
4. Why we use it, and our lawful basis
 
Responding to your enquiry and providing a proposal or fee quote — legitimate interests, in responding to a request you made to us.
Delivering a project we have been appointed on, and corresponding with your team and the wider project team — contract, being the performance of our appointment.
Producing fee proposals, invoices and project records — contract, and legal obligation for accounting records.
Sending occasional follow-up about an enquiry or project you have raised with us — legitimate interests, in pursuing an enquiry you started.
Producing case studies and marketing material about completed work — legitimate interests, and consent from you where the project or your brand is identified and not already public.
Understanding how our website is used and improving it — consent, given through our cookie banner.
Keeping our own business records, and meeting our legal, tax and insurance obligations — legal obligation, and legitimate interests.
 
Where we rely on legitimate interests, we have considered whether our interest is fair to you, and whether you would reasonably expect us to use your information in that way. You can object to this at any time using the contact details above.
 
5. Who we share it with
 
We do not sell your personal information, and we do not share it for advertising purposes.
 
We use a small number of service providers who process personal information on our behalf under written terms:
 
Wix.com Ltd — our website, hosting, contact forms and site analytics.
Google — email, file storage and website analytics.
Microsoft — productivity software and file storage.
 
We will also share information where it is necessary to deliver a project you have appointed us on, for example with a main contractor, project manager, cost consultant, landlord or specialist supplier; where we are required to share it with our accountants, insurers or professional advisers; and where we are required to share it by law.
 
6. International transfers
 
Some of our providers are based outside the UK, or store information outside the UK. Where information is transferred outside the UK, it is protected by the UK's International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or an adequacy decision covering the destination country.
 
7. How long we keep it
 
Website enquiries that do not become projects — 24 months from last contact.
Cost calculator submissions — 24 months.
Guide and document download records — 24 months.
Project records and correspondence — 6 years from practical completion.
Invoices and accounting records — 6 years from the end of the relevant financial year.
Website analytics — 14 months.
 
Where we no longer need your information, we delete it, or anonymise it so that it can no longer identify you.
 
8. Cookies
 
Our website uses cookies. Cookies that are strictly necessary for the site to work are set automatically. Cookies used for analytics and performance are only set once you have given consent through our cookie banner.
 
You can change or withdraw your cookie preferences at any time using the cookie settings on our website, and you can block or delete cookies through your own browser settings.
 
9. Your rights
 
Under UK data protection law you have the right to:
 
Be told how your information is used, which is the purpose of this notice.
Ask for a copy of the personal information we hold about you.
Have inaccurate information corrected.
Ask us to delete your information, where there is no overriding reason for us to keep it.
Ask us to restrict how we use your information.
Object to us using your information on the basis of legitimate interests, including for marketing.
Ask us to transfer your information to you or to another provider, where it was provided by you and we hold it electronically.
Withdraw consent, where we rely on consent.
 
To exercise any of these rights, email info@zerogravitydesign.co.uk. We will respond within one month. We will not charge you, and we may ask you to confirm your identity first.

If you are unhappy with how we have handled your information, please contact us first at info@zerogravitydesign.co.uk so that we can try to put it right.
